The Records Division maintains custodial control
of all official police reports, both criminal and non-criminal in nature,
as well as all motor vehicle accident reports filed with the department.
Included in their record keeping responsibilities are the acceptance, recording,
and dissemination of all subpoenas for civilians and sworn personnel, providing
a central repository for all Orders of Protection issued on behalf of City
residents, responding to all requests for Letters of Good Conduct, and
fingerprinting. Records personnel are assigned the daily sorting and distribution
of all incoming and outgoing mail, including interdepartmental mail. Numerous
requests received from insurance companies, attorneys, the Corporation
Counsel, and the general public for copies of reports and photographs are
processed here on a daily basis.

The Records Division maintains quality control
of all the written police reports received from the precincts and commands.
This includes reviewing all reports for accuracy, teletype alarm numbers,
and other notification requirements. Criminal reports are classified and
coded to meet statistical reporting standards, as mandated by the New York
State Department of Criminal Justice Service. The monthly Uniform Crime
Report is then sent to DCJS and these statistics are ultimately published
in the U.S. Department of Justice's publication "Crime in the United
States." In addition, the Records Division provides the District Attorney's
Domestic Violence Bureau with photostatic copies of all domestic violence
cases and forwards copies of all death occurrences to the Medical Examiner's
Office. Monthly and annual statistical reports are compiled for the Police
Commissioner and the Precinct Commanders.
The Records Division also maintained a computer
database that recorded all calls for service that came into the Communications
Division. This task was taken over by the Communications Division in November
when the new CAD system was adopted.
It should be noted that the Records Division is also one of the divisions within the department that generates revenue for the City of Yonkers as there are standard fees established for most of the services it performs.
